Coach Terms & Acceptable Use

1. Who these terms cover
These Coach Terms & Acceptable Use ("Coach Terms") govern college coach accounts on Earn4, operated by Earn4 LLC ("Earn4," "we," "us," or "our"). They apply in addition to the Earn4 Terms of Service and the Earn4 Privacy Policy. By creating or using a coach account, you accept these Coach Terms, the Coach Acceptable Use commitments in Section 11, and the Privacy Policy.
A coach account is a separate account type. It is not an athlete membership, does not include athlete or family features, and is not a paid subscription. Athlete-side terms — including membership, billing, refunds, parent or guardian authorization, and age-related provisions for athletes — do not apply to coach accounts, and coach obligations do not apply to athlete accounts.
2. Relationship to the main Terms of Service
The Terms of Service apply to coach accounts except where these Coach Terms provide a different, coach-specific rule. Rather than duplicate them here, the following provisions of the Terms of Service are incorporated into these Coach Terms by reference and apply to your use of a coach account: Earn4 intellectual property; user content, where applicable; copyright and infringement reports; third-party services; service availability and changes; disclaimers; limitation of liability; indemnification; informal dispute resolution; governing law and venue; notices; and the general terms.
If these Coach Terms directly conflict with the Terms of Service on a coach-specific matter, these Coach Terms control for that matter. On all other matters the Terms of Service control.
The informal dispute-resolution process in the Terms of Service applies to coach disputes, and the limitation-of-liability provisions in the Terms of Service apply to coach accounts. Coach accounts are provided at no charge, so the payment-based portion of that cap may be zero for a coach account; in that case the contractual minimum amount stated in the Terms of Service applies. Governing law and venue for coach disputes are the State of Idaho, consistent with the Terms of Service. No separate or additional liability formula is created by these Coach Terms.
3. Coach account eligibility
Coach accounts are intended for current coaching staff of college, university, and junior college baseball programs. You must be at least 18 years old to create a coach account. Coach accounts are free.
You agree that the identity, role or title, institution, and program information you provide is accurate and complete, that you are authorized to represent the program you claim, and that you will keep this information current. Earn4 requires a working email address and email verification before a coach account becomes operational.
4. What a coach account provides
A coach account is not required simply to view an Unlisted recruiting profile when you already have the direct link. A coach account is required for coach-only functionality, which currently includes Saved Athletes, verified-coach access to family-permitted protected contact information, and other functionality Earn4 specifically identifies as requiring a coach account.
Earn4 does not currently provide:
- athlete search, browsing, or a coach-facing athlete directory;
- Discoverable profiles;
- coach-to-athlete or coach-to-family messaging inside Earn4;
- a coach contact-request workflow;
- transcript requests;
- a publicly displayed recruiting email address.
Coach functionality may change over time. Nothing in these Coach Terms describes or promises functionality that does not exist today.
5. Published recruiting profiles
Recruiting profiles start private. Families decide whether to publish an Unlisted recruiting profile and which applicable information to include on it. When a family publishes, the profile is Unlisted: anyone with the direct link can view the recruiting information the family intentionally published. Unlisted does not mean confidential, and Earn4 does not provide athlete search, browsing, or discovery at launch.
Information that appears on a published profile is provided by athletes and families and is not verified by Earn4. You are responsible for your own evaluation and verification. Having a link to a published profile does not give you access to information the family has not published, and does not give you access to protected contact information.
6. Coach verification
Earn4 verifies a coach's claimed college baseball program and coaching role before granting verified-coach functionality. In connection with verification, Earn4 may:
- request information or evidence supporting your identity, role or title, institution, and program affiliation;
- review information otherwise available to Earn4;
- make verification decisions using a reasonable, good-faith review process;
- approve or deny verification;
- pause or suspend verification and related access;
- revoke verification;
- require reverification at any time; and
- close a coach account where Earn4 determines closure is appropriate.
Verification is determined by Earn4 and is discretionary. Verification is not an endorsement by Earn4 and is not a guarantee of any coach's identity, honesty, trustworthiness, employment status, or institutional approval. Verification does not guarantee continued access to coach functionality, and it does not entitle you to any athlete's information.
You may not falsify, manipulate, withhold, or materially misrepresent verification information or evidence, and you may not attempt to obtain or retain verification through another person's identity, credentials, or affiliation.
Earn4 may communicate verification status, requests for additional information, and information we determine appropriate concerning a verification decision. Earn4 is not required to disclose internal review notes, internal evidence, fraud or security signals, administrative deliberations, or other confidential review information.
7. Changes to your school, program, or role
You must keep your institution, baseball program, role or title, and employment/affiliation status accurate and current. If you change schools, change programs, change roles, leave the institution on your account, leave college coaching, or otherwise no longer hold the affiliation Earn4 verified, you must update Earn4 before continuing to use verified-coach functionality associated with the prior affiliation.
Verification does not transfer automatically to a new institution, program, or role. Earn4 may suspend protected functionality while reverification occurs, and may deny verification for a new affiliation.
8. Protected contact information
Athlete email, athlete phone, parent or guardian email, parent or guardian phone, reference email, and reference phone are protected contact information. They are never displayed publicly on Earn4, including on a published Unlisted profile.
A family may independently enable specific protected contact methods for access by eligible Earn4-verified college coaches. Each contact method defaults off. Reference sharing is controlled individually, reference by reference. Protected contact is accessed per athlete, and only the specific methods that family enabled can be revealed.
Access is limited to an eligible Earn4-verified college coach account in good standing and occurs only through the protected-contact functionality Earn4 provides. Earn4 does not sell, license, or distribute athlete contact information. No coach is entitled to any athlete's, family's, or reference's contact information merely because the coach is verified, merely because the coach has a profile link, or merely because the coach saved the athlete.
Permitted use
Protected information may be used only for your own legitimate college recruiting purposes as a coach at the program on your account, and only through the access and permissions Earn4 provides.
Prohibited use
You may not:
- copy protected information into an external athlete, contact, recruiting, or prospect database, list, or service;
- sell or license protected information;
- redistribute, forward, or share protected information;
- publish or post protected information;
- use protected information for sales, advertising, marketing, solicitation, lead generation, fundraising, or any camp, showcase, event, marketing, or promotional use that is unrelated to the legitimate recruiting of that athlete, including building or supplying marketing lists or broadly advertising camps, showcases, or events to athletes or families;
- provide protected information to any unauthorized third party, including staff at other programs, scouting services, advisors, agents, or data brokers; or
- continue using protected information after the recruiting purpose no longer exists in a manner inconsistent with these Coach Terms.
Reasonable usage, security, and abuse-prevention limits may apply to protected-information access and may change over time.
9. Withdrawn permission and information already accessed
Families may change or withdraw protected-contact permissions at any time. Withdrawing permission stops further access through Earn4 going forward. It does not recall information that a coach already legitimately viewed, and Earn4 cannot technically retrieve or delete information already viewed outside the Service.
You remain responsible for information you already legitimately accessed. Previously accessed protected information remains subject to your confidentiality, recruiting-purpose, no-resale, no-redistribution, and appropriate-use obligations under these Coach Terms.
Suspension, revocation of verification, account closure, or any other loss of coach status does not create permission to continue using protected information for purposes unrelated to legitimate college recruiting, and does not release you from these obligations.
10. References
Protected reference contact information is subject to the same restrictions that apply to athlete and parent protected information. You have no entitlement to a reference's email address or phone number unless the family specifically enabled sharing for that individual reference.
A reference's name, role, organization, or similar identity information appearing on a published Unlisted profile does not grant access to that reference's contact information, and you may not attempt to obtain reference contact information by circumventing Earn4's permissions.
11. Coach Acceptable Use
Coach access exists for one purpose: legitimate, direct college recruiting communication with an athlete and that athlete's family. These commitments are a condition of coach access, not a best-effort guideline. Many athletes on Earn4 are minors. Accepting these Coach Terms means accepting all of the following.
Identity, verification, and account integrity
- You will not use a false identity, role, title, institution, or affiliation.
- You will not provide false, altered, or misleading verification evidence.
- You will not attempt to circumvent or defeat Earn4 verification.
- You will not impersonate another coach or any other person.
- You will not create or use a coach account on behalf of someone else, or allow anyone else to use yours.
Credentials and sessions
- You will keep your login credentials confidential.
- You will not share your coach account.
- You will not allow another person to use your verified coach session.
- You will not use another coach's account or verified session.
- You will notify Earn4 promptly of any suspected unauthorized access to or compromise of your account.
- You will keep your identity and affiliation information accurate.
Use of athlete and family information
- You will use athlete, parent, guardian, and reference information only for your own legitimate recruiting communication as a coach at the program on your account.
- You will not scrape Earn4, and you will not collect Earn4 athlete information through automated, systematic, or bulk means.
- You will not build or maintain an athlete or contact database, list, or service outside Earn4 from Earn4 information.
- You will not bulk-export athlete or contact information.
- You will not sell, license, publish, redistribute, syndicate, or otherwise disclose athlete, parent, guardian, or reference information to any third party.
- You will not use athlete, parent, guardian, or reference information for marketing, advertising, solicitation, lead generation, fundraising, camp or showcase promotion unrelated to recruiting that athlete, or any other commercial purpose.
- You will not access, or attempt to access, information beyond what the athlete and family have permitted, and you will not attempt to bypass protected-contact controls or any other Earn4 access control.
- You will not otherwise misuse athlete, parent, guardian, or reference information.
Communication and conduct
- You will communicate respectfully and professionally with athletes, families, and references.
- You will not harass, threaten, intimidate, or spam anyone.
- You will not send inappropriate communication of any kind.
- You will not contact an athlete, family member, or reference after a clear request to stop, except where contact is legally necessary.
- You will not engage in conduct that threatens the safety of Earn4's users or the integrity or security of the Service.
Recruiting rules compliance
You are solely responsible for complying with all recruiting rules, contact periods, and communication restrictions that apply to you, including NCAA, NJCAA, NAIA, conference, and institutional rules, and all applicable laws. Earn4 does not determine, monitor, or enforce recruiting-rule compliance on your behalf.
12. Saved Athletes
Saved Athletes is a private organizational and bookmarking tool for your own coach account. It is not a public coach list, and it is not shared as a roster, board, or ranking.
Saving an athlete is not:
- a statement of formal recruiting interest;
- an offer;
- a scholarship;
- a roster commitment;
- an admission decision; or
- an entitlement to protected information.
Saving an athlete does not:
- alter any family visibility setting;
- enable protected contact access;
- grant access to private account information; or
- create any relationship or obligation between Earn4, you, the athlete, the family, or your institution.
13. Coach activity and security records
Earn4 may record certain signed-in coach activity, including certain athlete-profile views, access to protected information, verification and account events, and security-related activity. Earn4 may use these records for purposes including product functionality, athlete and family visibility, the Parent Digest where supported, security, abuse prevention, auditing, and enforcement.
Athletes and families may be shown coach activity relating to their own profile and protected information. Earn4's handling and retention of these records is described in the Privacy Policy.
14. Reasonable usage and security limits
Reasonable usage, security, and abuse-prevention limits may apply to protected-information reveals, Saved Athletes, profile activity, and other security-sensitive coach functionality. Earn4 may adjust these limits to prevent abuse, protect users, and maintain the Service. Limits may change over time and may change without notice.
15. Enforcement, suspension, and closure
Earn4 may investigate suspected misuse and may suspend or close a coach account, revoke verification, revoke a claimed school or program affiliation, and remove access to protected information, at any time and without prior notice. Earn4 may report misuse to your institution, to a conference or governing body, or to law enforcement where appropriate, and may retain related records as described in the Privacy Policy.
Earn4 may notify affected athletes or families when we reasonably believe notice concerning a coach account, verification status, or misuse of information is appropriate to protect users, address security, suspected fraud, or abuse, comply with law or regulatory obligations, or protect the integrity of the Service. Earn4 does not promise to notify athletes or families of every coach account decision.
You may close your coach account at any time from your coach account page. Closing an account ends coach access and revokes your school affiliation. Earn4 retains coach account, verification, consent, and access records for the retention periods described in the Privacy Policy, including where required for safety, dispute resolution, and legal obligations. Sections 8, 9, 10, and 11 continue to apply to information you accessed while your account was active. Other provisions that by their nature should continue after suspension, closure, or termination also survive, including applicable provisions incorporated from the Terms of Service.
16. No agency, endorsement, or guarantee
Earn4 is software. Earn4 is not a recruiting agency, does not represent athletes, families, or schools, does not evaluate or endorse athletes or coaches, and does not participate in recruiting decisions. Athlete-provided information — including academics, metrics, video, and references — is supplied by athletes and families and is not verified by Earn4.
Coach accounts are provided at no charge and on an as-is basis. To the fullest extent permitted by law, Earn4 disclaims all warranties relating to coach accounts and is not liable for recruiting outcomes, missed communications, or unavailability of coach features, subject to the disclaimers and limitation-of-liability provisions of the Terms of Service.
17. Copyright
Athlete video, images, and other content on Earn4 belong to the athletes, families, or other rights holders who provided them. The copyright and infringement-report provisions of the Terms of Service apply to coach accounts, and copyright concerns should be sent to support@earn4.app. These Coach Terms do not create a separate copyright process.
18. Changes to these Coach Terms
Earn4 may update these Coach Terms and the Coach Acceptable Use commitments. Each document has a current version. When a current version changes, Earn4 will ask you to review and accept the updated documents the next time you use coach tools, and coach functionality — including access to protected information — remains unavailable until you accept the current versions. Your acceptances are recorded as a history; accepting a new version does not remove a prior acceptance record.
19. Governing law and contact
Governing law, venue, and the dispute process for coach accounts are as provided in the Terms of Service: Idaho law governs, and disputes are brought in the state or federal courts located in Idaho after the informal dispute-resolution step described there.
