1. Introduction

This Privacy Policy explains how Earn4 LLC ("Earn4," "we," "us," or "our") collects, uses, shares, and protects information when you use the Earn4 website, application, athlete accounts, published recruiting profiles, coach accounts, Highlight Builder, School Tracker, Recruiting Inbox and connected-Gmail recruiting email features, Academy and Resource Library, contact and support experience, recruiting-readiness quiz, and related services (together, the "Service").

Earn4 is a private recruiting software service for baseball families and college coaches. Earn4 is not a school, school district, athletic association, or governing body, does not act on behalf of one, and does not guarantee any recruiting outcome. By using the Service you also agree to our Terms of Service. Questions can be sent to support@earn4.app or through the Earn4 Contact page.

2. Age requirement and children's privacy

Earn4 is intended only for people age 13 and older. We do not permit children under 13 to create accounts or use the Service, and every account requires confirmation of the 13+ minimum age. If we learn that we have collected personal information from a child under 13, we will take reasonable steps to delete it. Parents or guardians who believe a child under 13 has provided information to Earn4 should contact support@earn4.app.

Athletes ages 13–17 are expected to use Earn4 with the involvement and permission of a parent or legal guardian. Depending on the athlete's age and how the account was created, Earn4 asks for parent or guardian information and requires a parent or guardian authorization step before certain parts of the Service can be used. Recruiting email syncing has its own, separate parent or guardian acknowledgment requirement for athletes under 18. See Section 9 and Section 12.

3. Information we collect

The categories below describe what Earn4 actually collects today. We do not collect information for features that are not part of the current product.

Account, age, and signup

  • Email address, first name, last name, and display name.
  • Authentication credentials, which are created and secured through our authentication provider. Earn4 does not store your password.
  • Graduation year and recruiting-path selection (including junior-college or pre-high school paths where applicable).
  • Athlete date of birth, the derived age bracket used for age-related protections, and whether the account was created by the athlete or by a parent or guardian.
  • A record of the 13+ age confirmation, including the time it was given and the minimum age confirmed.
  • Short-lived signup handoff information. Details you enter during signup before your account exists are held briefly on our servers so they can be applied to the correct account once it is created, and then expire.
  • If Google sign-in is available to you, or you use a Google-connected identity, the basic profile information Google provides (such as email address, name, and avatar).

Athlete profile

  • Profile photo or avatar and optional cover image.
  • Headline, biography, high school, travel organization, city, and state.
  • Positions, height, weight, batting and throwing handedness, and related athletic details you enter.
  • Athletic metrics and measurement history you record (for example velocities, exit velocity, times, jumps, and lifts), along with the dates and sources you attach.
  • Academic information you choose to add, such as GPA and SAT or ACT scores.
  • Intended major, recruiting goals, awards, offers, and commitment information.
  • Video links, highlight links, and social or profile links.
  • Eligibility identifiers you choose to store, such as an NCAA Eligibility Center ID or NAIA Eligibility Center ID.
  • Athlete and parent or guardian contact details you choose to store, and the sharing preferences you set for them.
  • Coach or program reference information you enter, including the reference's name, role, organization, and contact details.

School Tracker and recruiting activity

  • Schools you track, their status in your list, and school lists you build.
  • Coach and staff information you enter for a school.
  • Notes you write about a school, coach, or interaction.
  • Calls, emails, visits, camps, and other outreach history you log.
  • Follow-up dates and follow-up preferences you set.
  • Reminders and calendar events you create or opt into.

Academy and Resource Library

  • Task and module completion state, progress, and timestamps.
  • Any proof text or links you attach to a task.
  • Resource views, completion state, and resource access records.

Highlight Builder

  • Video clips you upload and thumbnails generated from those clips.
  • Trim points, clip ordering, category selections, and the player and end-card information you provide.
  • Render and export status and the resulting highlight videos.
  • These materials are processed by our video storage, playback, rendering, and AI providers as described in Section 14 and Section 16.

Connected Gmail and recruiting email (optional)

See Section 12 for the full description of this feature, including what is stored, what is not stored, and how full message text is handled. In summary, if you choose to connect your Gmail account, Earn4 collects and stores:

  • the Gmail address connected, the Google account identifier for that connection, the permissions granted, connection status, and the encrypted credential Earn4 uses to act on your instruction;
  • for recruiting emails Earn4 sends for you: the recipients, subject, timestamps, message and thread identifiers, and the message text you wrote;
  • for recruiting messages identified through optional syncing: the message and thread identifiers and the standard email threading identifiers, From / To / Reply-To information, the subject (stored up to 300 characters), timestamps, a short preview of the message limited to 200 characters, and the recruiting relationship state Earn4 uses to attach the message to the right school and conversation;
  • limited sync bookkeeping and diagnostic records used to keep syncing correct and to troubleshoot it.

Earn4 does not store the full text of email you receive. Earn4 does not store message CC lists, does not keep a duplicate copy of the subject at the conversation level, and does not keep unbounded email reference chains.

Membership and billing

  • Payment-card information is collected and processed directly by Stripe. Earn4 does not receive or store full payment-card numbers.
  • Earn4 stores the billing information it needs to provide the Service, such as a Stripe customer identifier, subscription identifier, plan or price identifier, membership and subscription status, and related billing status and dates.

Contact and support

  • Name, email address, inquiry topic, subject, and message.
  • Files you attach to a support request, where attachments are supported, along with the support record itself.
  • Technical information used for spam prevention and rate limiting.

Recruiting-readiness quiz

  • Email address and graduation year.
  • Quiz answers, computed readiness score, and internal readiness category.

Legal, consent, and authorization records

  • Records of your acceptance of applicable agreements, including the document type and version accepted, the party who accepted, and the time of acceptance. See Section 10.
  • Parent or guardian authorization records, including status, timing, and related workflow information. See Section 9.

Technical, analytics, and security information

  • Your Earn4 account identifier once you are signed in, together with non-identifying product properties such as graduation-year grouping, plan, membership status, and setup type. Because analytics events are associated with an account identifier after sign-in, this information is pseudonymous rather than fully anonymous. Our analytics provider is configured so that IP address collection is disabled.
  • Our hosting, network security, and error-monitoring providers may process technical request, device, and network information — such as browser and device details, IP address, request paths, and error diagnostics — to deliver, secure, and troubleshoot the Service.
  • Email delivery, bounce, suppression, and unsubscribe records.
  • Security, access, and audit records described elsewhere in this policy.

4. How we use information

  • Provide, operate, and secure Earn4.
  • Personalize the recruiting roadmap, grade path, and Academy content.
  • Help you manage schools, outreach, follow-ups, reminders, calendar events, and progress.
  • Publish a recruiting profile when you choose to publish one.
  • Make specific contact methods available to Earn4-verified college coaches when a family chooses to allow that.
  • Show athletes and families relevant recruiting activity, including coach activity where supported, and send the optional Parent Digest.
  • Process video uploads, thumbnails, and highlight exports through our providers.
  • Generate AI-assisted trim and quality suggestions in the Highlight Builder.
  • Verify coach accounts and maintain the integrity and safety of the Service.
  • Process memberships and payments through Stripe.
  • Send transactional and requested email, including account, security, billing, membership, support, quiz, and Parent Digest messages.
  • Respond to support requests and maintain appropriate support records.
  • Measure product performance and improve the Service.
  • Detect, investigate, and prevent fraud, abuse, and technical issues.
  • Maintain consent, authorization, verification, and audit records, comply with legal obligations, and enforce our Terms.

5. How athlete information is shared: three levels

Athlete information in Earn4 falls into three levels. Nothing about an athlete is published or made available to a coach automatically. For every piece of information that has a sharing option, the athlete and family choose which level applies, and they can change that choice at any time.

Published recruiting profile information

Recruiting information the athlete or family intentionally chooses to display on a published recruiting profile. A profile starts private: new accounts have no published profile, and Earn4 never publishes one for you. When a family publishes a profile, it is Unlisted — anyone who has the profile link can view the published recruiting information without signing in, and the profile is not listed in any Earn4 search or discovery surface. Unlisted does not mean confidential: a link can be copied, forwarded, or shared by anyone who has it. Contact information is never part of this level. Athlete and parent or guardian email addresses and phone numbers, and reference email addresses and phone numbers, are never displayed on a published profile.

Verified-coach-only information

Contact information the family chooses to make available to Earn4-verified college coaches. This information is never displayed publicly and never appears on a published profile. It can be accessed only inside Earn4, only by an eligible Earn4-verified college coach in good standing, and only for the specific contact methods that family has allowed. Each contact method has its own setting and each one starts off. Allowing one contact method does not allow the others. See Section 7.

Private account information

Information that is not published on a recruiting profile and is not shared with verified college coaches remains private within the account. This includes your recruiting workspace — School Tracker entries, notes, outreach history, reminders, calendar events, Academy and Library activity, Highlight Builder working files, membership and billing records, and account, consent, authorization, and security records. Some information is always private and has no publishing or coach-sharing option at all, including date of birth, age bracket, authentication credentials, billing identifiers, transcript files, quiz answers, support submissions, consent and authorization records, and our internal security and audit records.

Earn4 staff may access account information where necessary to operate the Service, provide support, review coach verification, investigate abuse or security issues, or comply with law.

6. Published recruiting profiles

  • A recruiting profile is private until the athlete or family publishes it, and it can be unpublished at any time. A published profile is Unlisted: it can be viewed by anyone with the link and is not included in an Earn4 directory or search.
  • The athlete or family controls which information appears on it, field by field. Depending on the settings chosen, a published profile may show display name, profile link, class year, positions, height and weight, batting and throwing handedness, high school and travel organization, city and state, profile and cover photos, headline and biography, intended major and recruiting goals, athletic metrics and measurement history, awards marked public, commitment details when the family chooses to publish them, video and highlight links, social and profile links, and reference name, role, and organization. Academic information such as GPA, SAT, and ACT scores and eligibility identifiers such as an NCAA or NAIA Eligibility Center ID appear only if the family turns on that specific field. Information you do not choose to publish is not shown there.
  • Contact information is never published on a recruiting profile. Athlete email address, athlete phone number, parent or guardian email address, parent or guardian phone number, and reference email addresses and phone numbers are never displayed publicly, and Earn4 does not offer an option to publish them. Date of birth and transcript files are likewise never displayed.
  • Anyone with the profile link can view what has been intentionally published, and profile links may be copied, forwarded, screenshotted, embedded, or otherwise shared outside Earn4.
  • Earn4 currently applies technical measures intended to discourage search-engine indexing of published recruiting profiles. We cannot guarantee that information shared outside Earn4 will never be copied, cached, indexed, or redistributed by third parties, and unpublishing a profile cannot remove copies others already made.
  • Earn4 does not operate a searchable directory of athletes, and coaches cannot browse or download athlete lists from Earn4.
  • Final highlight videos play through our video provider using public playback links, which means anyone with a playback URL can view that video without signing in.
  • Because a published profile can be viewed by anyone with the link, do not publish information you would not want seen or shared.

7. Contact information and verified college coach access

Contact information is protected. It is never displayed on a published recruiting profile. Instead, a family can choose to make specific contact methods available to Earn4-verified college coaches. The contact methods that can be shared this way are the athlete's email address, the athlete's phone number, the parent or guardian's email address, the parent or guardian's phone number, and the email address and phone number of an individual coach or program reference the family has chosen to share. Each of these is a separate setting, each one starts off, and none of them is turned on for you: allowing the athlete's email does not allow the athlete's phone, allowing one parent or guardian method does not allow the others, and reference sharing is controlled one reference at a time. Families can also indicate a preferred way for coaches to reach them among the direct methods they have allowed.

When a family allows a contact method for verified college coaches:

  • that information is still never displayed publicly and never appears on the published profile — verified-coach access is not public access;
  • the college coach must hold an eligible Earn4 coach account that Earn4 has verified and that remains in good standing;
  • Earn4 reviews the coach's claimed college baseball program and coaching role as part of verification;
  • the information is provided only through Earn4, for one athlete at a time, and only for the specific methods that family has allowed;
  • access and related activity may be recorded for security, product functionality, auditing, abuse prevention, enforcement of our agreements, and athlete and family visibility;
  • the family can change or turn off these permissions at any time, and access stops going forward. Turning sharing off does not recall information a coach already viewed.

Verified college coach access is the only way contact information is shared through Earn4. Earn4 does not sell athlete or family contact information and does not provide bulk access to it.

8. Coach accounts, verification, and coach activity

Earn4 offers a separate account type for college coaches, governed by the Coach Terms and Acceptable Use in addition to this policy.

Coach information we collect

  • Name, email address, and authentication credentials.
  • Coaching role or title and the college baseball program claimed.
  • Claimed school affiliation and its status.
  • Verification applications, the evidence submitted or reviewed to support a claimed role, and the resulting administrative verification decisions and notes.
  • Verification status and account status.
  • Records of acceptance of the applicable coach agreements and acceptable-use terms.
  • Saved Athletes — private bookmarks a coach keeps for their own reference.
  • Coach activity and security records as described below.

Verification information is used to determine whether a coach is eligible for protected coach functionality, to communicate about the coach account, and to maintain the safety and integrity of the Service. Coaches are not shown internal review notes about other accounts, and a Saved Athletes list is not shared with athletes as a coach's private list.

Coach activity

Activity by a signed-in coach may be recorded, including certain athlete-profile views and access to protected information, along with the coach account involved, the athlete profile involved, what was accessed, and when. This information may be used to provide functionality to athletes and families, power Coach Activity features and the Parent Digest, maintain security, prevent abuse, audit protected access, and operate and improve Earn4.

9. Parent and guardian information and authorization

Earn4 collects parent or guardian information where it is needed for age-related account authorization, family visibility, and safety.

  • Optional parent or guardian name, relationship to the athlete, email address, and phone number.
  • Parent or guardian attestation information, where a parent confirms their relationship and their authorization of the athlete's use of Earn4.
  • Authorization status, the date and time of an authorization or decline, authorization history, and the workflow and secure link information used to deliver and complete an authorization request.

This information is used for age-related account authorization, recordkeeping, family safety, and legal and compliance purposes.

While your account exists, we keep historical records of parent and guardian authorizations even after a related setting, email address, or authorization state changes, because those records document what was authorized and when. They are append-only and we do not rewrite them. When you delete your Earn4 account, these records are deleted too: your parent or guardian authorization records and the related authorization emails we sent are removed as part of the permanent deletion described in Section 17.

Recruiting email syncing for an athlete under 18 requires a separate parent or guardian acknowledgment, recorded independently from account authorization. See Section 12.

Parent Digest

Parent Digest is an optional email summary for a parent or guardian. When it is turned on, Earn4 sends the parent or guardian address on file a periodic summary of relevant recruiting information from the athlete's account — for example upcoming tasks and deadlines, follow-ups, school and offer activity, and coach activity where currently supported. Parent Digest can be turned off in the account, and digest emails include an unsubscribe link. Earn4 keeps email delivery and unsubscribe records for these messages. Parent Digest does not include the content of Gmail messages.

Earn4 records acceptance of the agreements that apply to your account, including the Terms of Service, this Privacy Policy, the Recruiting Email Sync Disclosure where that feature is used, and, for coach accounts, the applicable coach agreements and acceptable-use requirements. Each record includes the document type and version accepted, whether it was accepted by the account user or by a parent or guardian, the time of acceptance, and related account and workflow details.

While your account exists, these records are kept as historical records because they demonstrate what was agreed to and when. They are append-only: a new acceptance is added as a new record and earlier records are not rewritten. If we materially change an agreement, we may ask you to review and accept the current version before continuing to use the affected parts of the Service.

When you delete your Earn4 account, your consent records are deleted as part of the permanent deletion described in Section 17.

11. Data portability: Download My Earn4 Data

You can download a machine-readable copy of your Earn4 data from Settings, without contacting support. The download includes the exportable records Earn4 holds for your account — for example your profile, School Tracker schools and notes, outreach history, offers, recruiting email conversations and the message details Earn4 stores, and connected-account status. The export is complete for your account: it is not truncated to a sample, and large accounts receive multiple numbered files with a manifest rather than an incomplete file.

The export:

  • is available only to the signed-in owner of the account;
  • makes no requests to Gmail while it is generated, and therefore never fetches or exports the live full text of email you received;
  • excludes credentials and access tokens, internal sync cursors and bookkeeping, internal diagnostics, and other users' information;
  • is subject to a small daily limit to prevent abuse.

12. Connected Gmail and recruiting email

This feature is optional. Nothing in this section applies unless you connect a Gmail account yourself.

Two separate permissions. Connecting Gmail so Earn4 can send recruiting email from your address is one permission, requested through the Gmail sending scope gmail.send, which Google classifies as a sensitive scope. Reading email in that account so Earn4 can recognize recruiting activity ("recruiting email syncing") is a second, separate permission, requested through gmail.readonly, which Google classifies as a restricted scope and which is therefore subject to Google's additional restricted-scope requirements. Sending does not give Earn4 the ability to read your email. Syncing is off unless you turn it on.

Sending. When you connect Gmail, Earn4 can send the 1:1 recruiting emails and replies you write in Earn4 from your own Gmail address, so they arrive from you and appear in your Gmail Sent mail. After a send is confirmed, Earn4 stores the message you wrote together with its recipients, subject, timestamps, and the identifiers needed to keep the conversation threaded. Reasonable technical and anti-abuse limits apply to protect you, coaches, and the Service, and Google applies its own independent sending limits to your account.

Turning on syncing. Before Earn4 sends you to Google to grant read permission, Earn4 shows you a disclosure describing exactly what it accesses, why, what it stores, what it does not store, how it is shared, and the restrictions that apply. You must affirmatively continue from that disclosure; closing or cancelling it does not grant anything and does not create any request to Google. If the athlete is under 18, a parent or guardian must acknowledge the same disclosure through a one-time emailed link before syncing can be turned on, and the athlete then also acknowledges it personally, because the athlete is the Google account holder. If the athlete's date of birth is not known, syncing stays off. Full details are in the Recruiting Email Sync Disclosure.

What Earn4 may access when syncing is on. Gmail message and thread identifiers, sender and recipient information, subject lines, timestamps, short message snippets, the threading and history information needed to keep syncing current, and — only when you open a specific synced message in Earn4 — the full plain-text body of that message.

What Earn4 stores. For recruiting messages only: the message, thread, and standard email threading identifiers; From, To, and Reply-To information; the subject, stored up to 300 characters; timestamps; a short preview limited to 200 characters; and the recruiting relationship state used to attach the message to the right school and conversation. For recruiting emails Earn4 sent for you, Earn4 also stores the message text you wrote in Earn4.

What Earn4 does not store. The full text of email you receive is never written to Earn4's database. Earn4 does not store message CC lists, does not keep a duplicate conversation-level copy of the subject, and does not retain unbounded email reference chains. Attachments, images, and remote tracking content are never downloaded.

Full message text on demand. When you open a synced message in Earn4, Earn4 requests that message's plain-text body from Gmail at that moment, verifies the message belongs to your account and conversation, displays it to you, and does not save it. If Gmail is no longer connected with read permission, that message can show only the short preview Earn4 already stored.

Recruiting relevance. Earn4 does not mirror your inbox. It keeps what it can tie to recruiting: replies to emails Earn4 sent for you, messages involving a coach or program contact in your tracker, and recruiting messages you sent yourself from Gmail. Everyday email that is not recruiting is not intended to enter the recruiting workflow and is not stored or summarized. Gmail message bodies are not sent to any AI provider for this classification.

Sharing. Gmail message content is not shared with coaches through this feature and is not sold. The infrastructure providers that host, secure, and operate Earn4 — our database, hosting, and error-monitoring providers — necessarily process data stored in or transmitted through the Service, limited to what is needed to operate, secure, and support it. Gmail-derived data is not sent to our payment, transactional-email, video, rendering, AI, or analytics providers.

Human access to Gmail information. Earn4 does not provide any administrative or staff product interface for browsing athletes' Gmail conversations or messages. Authorized personnel with infrastructure-level access may reach stored data where it is necessary for security, to investigate a bug or abuse, to respond to a specific support issue you raise about that data, or to comply with law, and otherwise where the data is aggregated and used for internal operations consistent with applicable law.

AI and advertising. Gmail-derived information is not sold, is not used for advertising of any kind including retargeting or interest-based advertising, is not used to determine creditworthiness, and is not used to create, train, or improve generalized or general-purpose artificial-intelligence or machine-learning models.

Google API Services Limited Use. Earn4's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Earn4's use of information received from Google Workspace APIs will adhere to the Google User Data and Developer Policy, including the Limited Use requirements.

Retention and diagnostics. Information Earn4 has saved from a connected Gmail account — message and thread identifiers, sender and recipient addresses, the capped subject, the short preview, timestamps, recruiting matching state, and the text of emails Earn4 sent for you — is retained while your Earn4 account exists, because it is the record of your recruiting activity. Retention is not tied to whether Gmail stays connected. Sync diagnostics that contain provider message and history identifiers are deleted automatically after 30 days.

Disconnecting Gmail. You can disconnect at any time. Disconnecting stops syncing and stops Earn4 sending from your address; removes the stored Google credential from Earn4; attempts revocation of Earn4's access with Google; and clears the Gmail sync cursor and watch state. After disconnecting, Earn4 can no longer load the live full text of any message, so a synced message shows only the short stored preview. Disconnecting does not erase recruiting records already saved in Earn4, including the Gmail-derived identifiers, addresses, subjects and previews described above; those remain available to you in your account until you delete them or delete your account. You can reconnect later; syncing is a separate permission you would grant again.

Deletion. Deleting your Earn4 account permanently removes this user-linked information as described in Section 17.

Security. Connected-account credentials are encrypted at rest, data is transmitted over secure modern protocols, and access is restricted by account-level access rules.

13. No sale of information and no targeted advertising

We do not sell personal information. We do not use third-party advertising networks or behavioral advertising pixels, and we do not share personal information for cross-context behavioral advertising. We do disclose information to the service providers that help us operate Earn4, as described in Section 16, and where required by law or to protect rights, safety, and the integrity of the Service.

14. Highlight Builder, video, and AI processing

  • Our video provider processes uploaded clips for storage, encoding, and playback, and our rendering provider receives the clip references and player and end-card information needed to compose a final export.
  • Our AI provider receives a small number of still thumbnail images from an uploaded clip so it can suggest trim points and flag likely category mismatches. It does not receive your raw video file. AI suggestions may be inaccurate, and you remain responsible for reviewing and selecting final clips.
  • A completed export is available to download for 7 days. After that window, the download is no longer available, and the underlying source and intermediate video assets for that export are cleaned up and their storage reclaimed on our routine cleanup schedule.
  • Records of the export itself — such as its status, category, and timing — may be retained for product operation, support, abuse prevention, and usage limits.

15. Data security

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information, including access controls, row-level access rules, encryption in transit, encryption at rest through our infrastructure providers, authentication protections, monitoring, and security review. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

16. Service providers

We use providers in the categories below to operate Earn4. They process information only to perform services for us and are subject to their own agreements and policies.

  • Authentication, database, and file storage.
  • Hosting, content delivery, network security, and bot or spam prevention.
  • Payment and subscription processing (Stripe).
  • Transactional email delivery.
  • Video upload, storage, encoding, playback, and highlight rendering.
  • AI processing for Highlight Builder suggestions.
  • Product analytics and error monitoring.
  • Uptime and scheduled-job monitoring.
  • Sign-in with Google, if Google sign-in is available to you or you use it.
  • Google, for the Gmail features you choose to connect and authorize. Gmail-derived information is processed only as described in Section 12.

17. Data retention and account deletion

We retain information for as long as reasonably necessary to provide the Service, maintain account history, protect security, prevent abuse and fraud, resolve disputes, and satisfy legal, tax, accounting, or regulatory obligations. Retention differs by category, and some operational logs are cleaned up on routine schedules. Highlight exports are downloadable for 7 days, after which the related source and intermediate video assets are cleaned up. Sync diagnostics containing Gmail message or history identifiers are deleted automatically after 30 days.

Deleting your account

You can delete your Earn4 account from Settings. Deletion begins a 7-day cancellable waiting period. When you confirm, your account is locked, any connected Gmail account is disconnected and revocation of Earn4's access is attempted immediately, syncing does not resume during the waiting period, and your membership stops renewing. If you cancel within 7 days, your Earn4 data and access are restored, and Gmail must be connected again. After the 7 days, deletion is permanent and cannot be undone.

Final deletion removes your login, profile, recruiting records, connected-email data, consent records, parent or guardian authorization records and authorization-email records, and — where they were matched to your email address — quiz entries, contact-form messages, unsubscribe tokens and email delivery-log entries. One Earn4 login is one person: deleting a login deletes both the athlete and coach information held under it, and never affects anyone else's account.

A small number of records are not tied to your user account and may remain:

  • Blocked-address records — see the paragraph below.
  • A minimized, account-independent school verification record — see the paragraph below.
  • Administrative and financial records. Internal administrative action logs, payment and billing records held by our payment processor, referral and discount decision records, and partner records keep the account reference removed but remain as business and accounting records.
  • Pending external cleanup tasks. A record with no personal information may remain briefly so a third-party deletion request (for example to our analytics provider) can be retried if that provider is temporarily unavailable.
  • Aggregate, non-identifying statistics that cannot be linked back to you, and backups that expire on our providers' schedules.
  • Copies of publicly published content already retained by third parties, which we cannot recall.

Coach accounts and verification records

If a deleted Earn4 login held a coach account, we permanently delete that coach account record, the coach verification application and everything in it — the contact email, the role information provided, the review notes and evidence links, and the reasons recorded for any decision — along with the coach's affiliation records and any school correction requests they filed. What we keep is a record about the school or program itself: the school, a general role category, how a claim was verified, whether it ended as verified or revoked, and the dates. That record carries no name, title, email address, or notes, and is not linked to any account. We keep it so that a claim we previously revoked cannot quietly be approved again and so school-level trust decisions stay reliable. Records that are part of an open security, fraud, abuse, or legal matter are held until that matter is resolved and then handled the same way; we do not keep them longer than that purpose requires. Blocked-address records

If email to your address permanently fails, is reported as spam, or you unsubscribe, we and our email provider keep a minimal record — the address, the reason, and the date — so we do not keep sending to it. It contains no account identifier, no message content, and no recruiting information; because it still contains an email address, we do not treat it as anonymous. We keep it as long as it is needed to honor that outcome. A block created by a permanent delivery failure cannot be lifted by us: that address becomes usable again only once a working address is confirmed. A block created by a spam complaint stays in force. If you unsubscribed and later want Earn4 email again, we will re-enable it only after you affirmatively ask us to. We do not promise to delete these records, because removing one could send mail to someone who asked us to stop. Note that a blocked address also stops account and security email, not only optional updates.

18. Cookies and similar technologies

Earn4 uses cookies and similar technologies for:

  • Authentication and session management.
  • Security, spam prevention, and preserving a safe return path during sign-in.
  • Product analytics.
  • Referral and affiliate attribution, if you arrive at our public pages through an Earn4 partner or referral link.
  • Other essential functions required to operate the Service.

Referral and affiliate tracking. If you reach Earn4 through a partner, affiliate, or referral link, our referral tracking provider may set a first-party cookie on our public marketing pages recording that referral, together with limited technical information such as the referring link, page, timestamp, and general device or browser details. We use this only to credit the correct partner for a resulting membership and to apply any referral discount you qualify for. This tracking is not advertising: it is not used for behavioral or cross-context targeted advertising, it does not follow you across other companies’ websites, and it is not loaded inside the signed-in Earn4 app, the coach portal, or our checkout pages. If a membership is purchased, the partner receives only the information needed for commission accounting — not your athlete profile, recruiting activity, or the contents of your account.

You can control cookies through your browser settings. Earn4 does not currently offer an in-product cookie preference center. Blocking referral cookies does not affect your ability to use Earn4; it may only prevent a partner from being credited. Disabling essential cookies may prevent core features, such as signing in, from working.

19. Privacy rights and choices

Depending on where you live and applicable law, you may have the right to request access to the personal information we hold about you, correction of inaccurate or incomplete information, deletion of your account and associated data, a copy of certain information, or withdrawal from optional communications.

You can also change most sharing choices directly in your account at any time, including whether a recruiting profile is published, which information appears on it, and which contact methods are available to verified college coaches. You can download a machine-readable copy of your Earn4 data from Settings at any time, as described in Section 11, and you can delete your account from Settings as described in Section 17. For anything else, contact support@earn4.app and we will respond within the period required by applicable law.

20. Email communications

Transactional email is used for account, security, billing, membership, support, quiz, coach verification, parent authorization, and Parent Digest functions. Optional email, including Parent Digest, includes unsubscribe or preference controls. Certain account and security messages cannot be turned off while an account remains active.

21. International users

Earn4 is operated from the United States. If you access the Service from outside the United States, your information may be processed in the United States and in other jurisdictions where our providers operate.

22. Business transfers

If Earn4 is involved in a merger, acquisition, reorganization, financing, or sale of all or substantially all of its assets, information we hold may be transferred as part of that transaction, and the recipient would be required to honor commitments made in this Privacy Policy for information transferred to it.

Google user data carve-out. Data Earn4 obtained from Google Workspace or Gmail APIs is excluded from that general business-transfer right. Where Google's policies require explicit prior consent from the user before such data may be transferred as part of a merger, acquisition, or sale of assets, Earn4 will not transfer that data unless that consent has been obtained; absent that consent, the data will be deleted rather than transferred.

23. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page and provide additional notice, or ask for renewed acceptance, when required by law or when the changes are material.
